Name a weather decision-maker and a backup. They need time to watch conditions and the authority to stop activities. This role cannot be an afterthought during a busy game.
Prepare separate plans for rain, lightning, extreme heat, poor air, power loss, and an unusable building. They are not the same problem. A room may keep rain out while still being too hot or smoky.
Plan cooling, rest, drinking water, and lower-effort choices for hot days.1 Check local air-quality health messages, including guidance for more vulnerable participants.2
Write the shelter route, decision source, trigger, communication method, and return rule. Have local specialists approve the thresholds for your program. Do not copy a foreign air-quality number and assume it means the same thing.
If the main site closes, use only a preapproved alternative. An improvised move to a worker's home is not a business continuity plan.
Tell families before booking what happens if camp cannot run. Explain notice, collection arrangements, refunds or credits, and how urgent messages are sent. Separate a family cancelling from the operator cancelling.
