Summer Day Camp Registration and Daily Attendance Records
Create a separate booking and attendance record for every child and every booked day. Keep authorized pickup details, relevant care information and session changes clear. A family account must not replace the records staff need for each child.
A family account can hold several children. Each child still needs their own registration, age information, health support, session dates, attendance, and authorized pickup details.
Use one current source of truth. A payment spreadsheet and a separate paper roster can disagree. Decide how changes reach both, and time-stamp printed backup rosters.
Collect only what is needed. Separate booking contacts from emergency contacts and approved collectors. A person who pays is not automatically authorized to collect every child in a household.
Before confirming a place, check the date, age band, capacity, support review, payment terms, and any required forms. Do not count a waitlist entry as a paid registration.
Test a family with two siblings, a midweek start, an early-care add-on, a discount, a failed payment, a refund, and a collector change. Check that every change appears on the correct child's record.
Restrict health notes to staff who need them. Do not put sensitive details in a public spreadsheet or group chat. Check the privacy duties that apply to your organization.1
