Send families one clear welcome pack with arrival, pickup, food, what to bring and urgent contact details. Separate routine updates from time-sensitive changes. Share personal concerns privately and make operational messages easy to find.

Send a short welcome pack before camp. Include what to bring, what to leave home, arrival and pickup, food, medicine handover, contact hours, weather changes, and the urgent contact route.

During camp, separate routine updates from urgent messages. A daily photo post should not be the place parents must search for a closure notice.

A useful daily update can say what the group tried, what to bring tomorrow, and any operational change. Send private concerns privately. Do not identify another child in a behaviour report.

Tell a family about a significant incident promptly under your plan. Explain known facts, actions, and next steps. Do not guess about blame or promise an outcome before review.

Use a complaint log with the date, issue, owner, response deadline, and result. A repeated question may show that the website is unclear. A repeated complaint may show that the service needs changing.

Give staff a boundary: they can answer routine activity questions, but payment disputes, health decisions, custody changes, and safeguarding concerns go to the named lead.
