A trip starts at the camp door and ends after the last child is handed back. It does not start only when you reach the museum or park.
Check transport permissions, drivers, vehicles, seats and restraints, accessible transport, insurance, route time, toilets, food, medicine, weather, and backup arrangements. Use qualified providers and current local requirements.
Assign every child to a named group and every group to a named adult. Keep a roster at the site and with the trip leader. Carry emergency contacts securely. Verify boarding and leaving the vehicle; complete a physical vehicle check after unloading.
A destination's staff may teach an activity without taking over general custody. State the handover in writing. Ask who deals with illness, lost children, or evacuation.
Price the trip using actual minimum charges. A half-full bus can cost the same as a full bus. Include staff travel time, parking, booking fees, and refunds if the destination closes.
Avoid surprise outings. Families need the material details and any required permission in advance. A last-minute destination change must remain within the approved scope and terms.
