Family Camp Childcare Check-In and Release

Record the child, responsible worker, contactable adult, care information and expected collection when staff accept care. Record the return handover too. Make the process welcoming while keeping responsibility clear at every change.

When the camp accepts care, record the child, time, responsible worker, authorized adult, contact method, relevant care actions, and expected collection. Repeat the process when care returns to the adult.

Explain where the caregiver may go during the session. They may need to remain in a defined reachable area unless the service is approved and staffed for another arrangement.

Check reachability, not only whether a phone number exists. A parent hiking beyond coverage cannot be treated as instantly available because they are “nearby.”

Set age bands, session limits, staffing, toileting support, and late-collection rules through the actual legal and care review. Do not promise unlimited drop-in care without capacity control.

Use a waitlist or booking limit for childcare sessions when needed. A family accommodation booking should clearly state whether childcare is included, guaranteed, limited, or separately booked.

A wristband can support identification but does not replace a roster or authorized release. Do not let a child wander out because their parent is visible across the field.

Your task: Rehearse a handover, a caregiver who cannot be reached, and a child whose session ends while the adult activity is delayed.
