Describe the complete program to the relevant authorities and your broker: ages, hours, lodging, food, transport, activities, childcare, and the location of caregivers during separate sessions.
Do not assume that parents being on site removes childcare, safeguarding, or licensing duties. Do not assume the venue's insurance covers your team and program.
Check accommodation, fire, food, water, pool or waterfront, activity, accessibility, employment, privacy, and transport requirements that apply. Keep written answers and conditions.
Ask the broker to review family-led and camp-led periods separately. Discuss guest conduct, abuse coverage where relevant, professional activities, borrowed equipment, contractors, and cancellation.
Have customer terms and consent forms reviewed. A sentence saying “parents are responsible at all times” may conflict with a paid childcare promise and does not settle every legal duty.
If the site or service cannot support infant care or another specialized need, state the limit honestly and discuss safe alternatives. Do not sell it first and work out the rules later.
