Overnight Camp Arrival and Family Handover

Tell families how parking, luggage, health handover and cabin introductions will work. Record when camp care begins and resolve missing information with a named person. A completed payment does not mean the care handover is complete.

Give families a timed or staged arrival plan where useful. Explain parking, luggage, health handover, cabin meeting, and the point where camp care begins.

Check identity and attendance first. Then confirm important changes since the forms were completed. Keep health conversations private and avoid reading medical details aloud in a line.

Use a reviewed medication receipt process. Record items, instructions, quantities where required, storage, and the responsible worker. Do not accept a loose unidentified pill with a verbal explanation from a child.

Help participants find their sleeping space, bathroom, drinking water, and a named worker. Show them how to ask for help, including after lights-out. Do not assume a welcome speech is enough.

Give families a clear goodbye process without forcing a hurried or emotional scene. Staff should be ready to support the child after the family leaves.

Close the arrival loop. Confirm who has arrived, who is late, who has cancelled, and which follow-up is needed. Update cabin and meal records. A person expected on paper but not present needs a known status.
