Compare the planned and actual route, costs, staff time, gear use and cancellations. Review near misses and field decisions without discouraging honest reports. Use the findings to improve the program before increasing its size or scope.
Track enrollment, actual route use, supplier costs, staff hours, gear wear, cancellations, refunds, and cash. Compare the result with the plan while details are fresh.
Review turnarounds and changes as decisions, not failures. Ask whether the information was good, the decision was timely, and the group was supported.
Record incidents and near misses. Do not reward a season with “no reported problems” if workers were afraid to speak. Use reporting to improve the system.
Look for repeated friction: late buses, poor gear fit, slow check-in, unclear toilet plans, or routes that take longer than expected. Small recurring problems can weaken safety and customer trust.
Ask participants what helped them feel informed and included. A challenging day can still be a good experience when the plan is clear and respectful.
