Faith and Community Camp Family, Partner and Donor Communication

Give each audience the information it needs: practical care details for families, coordination for partners and accurate spending reports for donors. Keep private participant stories out of general updates. Use appropriate permission when sharing experiences or images.

These groups need different information. Families need care and program details. Partners need operational coordination. Donors need honest use-of-funds reporting. Do not send everyone the same private story.

Before camp, give families the schedule, packing list, food plan, faith content, optional choices, contact route, and pickup process. Make translations or accessible formats available where feasible.

During camp, send practical updates through an approved channel. Keep health, behaviour, protection, and family circumstances private.

For donors, report confirmed numbers and spending in the terms agreed. Do not invent outcomes or count a place twice because it had more than one funding source.

For partners, confirm changes that affect their work, including group size, timing, transport, and permissions. A volunteer should not make a new promise on behalf of the camp without authority.

After a concern, use verified facts and the appropriate response process. Do not ask the community to speculate or defend the organization before the facts are reviewed.
