  • Reporting currency: CAD. All actual line amounts use the same tax-adjusted basis as their forecasts.
  • Blank actuals mean Not recorded. No implied zero spend or complete actual profit.
  • Operating result excludes capital purchases, financing, refundable deposits, and tax movement lines. Depreciation, if desired, must be entered as a separate operating cost.
  • Taxes use entered rates and recoverable amounts only. Cash events must include the intended gross payment; they are never generated by a commitment status.
  • Forecast cash uses expected dates. Actual cash uses only received/paid events and actual dates. Both start from the entered opening balance, assumed known at the reporting start. Events outside the period are excluded.
  • Contingency is included only on selected operating costs (or as the entered fixed reserve), and is not an automatic cash event. Session results exclude the separately shown contingency reserve and retain unallocated balances.

An example: profitable doesn’t always mean more cash.

A fictional session earns CAD 12,000 and incurs CAD 10,000 in operating costs: a CAD 2,000 surplus. Starting with CAD 5,000, it receives CAD 12,000 and pays CAD 14,000, including equipment and a refundable venue deposit. Closing cash is CAD 3,000. The planner keeps both results visible.

A few helpful answers

What is included in operating surplus?

Earned revenue minus operating costs and your chosen contingency. Capital purchases, loans, refundable deposits, and separate tax movements stay outside the operating result. Your tax settings determine net revenue and nonrecoverable cost tax.

Can I use this for overnight, ski, or family camps?

Yes. Load the matching example for bed-nights and meal counts, ski instruction and lift access, or household registrations and restricted scholarship funding. Every quantity and category is editable.

How are missing actuals handled?

A blank actual is not recorded, never zero. The actual operating result remains incomplete until every active operating line has an actual. Percentage variance is unavailable against a zero baseline.

Where is my budget saved?

Your project starts in memory in this browser tab. Save locally only if you want a manual copy on this device, or export JSON to keep a portable file. Nothing in your budget is uploaded or sent to analytics. Local files are not tied to an account or workspace.

Can I connect it to my Bookify account?

Account saving and budget imports into Bookify are not available in this planner. You can download the complete editable project and explore Bookify’s camp software separately.

Is this an accounting or tax system?

It is a planning tool, not a tax filing basis or a verified financial statement. Use your own reviewed tax rates, funding restrictions, supplier quotes, and accounting assumptions. Forecasts do not create transactions.
